Art loan policy
1. The University of Victoria Art Collections (UVAC) administers a large collection of contemporary art, which is intended for both academic study and enhancement of public spaces on campus. UVic departments may borrow designated artwork providing that adequate security and environmental controls are available as approved by a UVAC staff member. UVAC staff must hang, move or remove the artwork.
2. All items of the University of Victoria Art Collection are subject to recall by the Curator if required for exhibition or if for some reason environmental conditions (e.g. sunlight, heat, moisture) are adversely affecting the artwork.
3. All loans from the University Art Collection on campus must be recorded on the standard loan agreement form. The University of Victoria's insurance policy provides blanket insurance for artwork from the University of Victoria Art Collections, which are installed on campus.
4. All items of the University Art Collection on loan on campus must be displayed in public offices or spaces that are frequented by staff and students and must have adequate security as determined by a UVAC staff member. Individual faculty offices are not considered public spaces.
5. If for any reason the borrowed artwork needs to be moved (ie. the furniture placement or maintenance of the space), UVAC must be contacted immediately and only qualified UVAC employees may move the artwork. Should the borrower move or handle artwork with resulting damage, the borrower will be responsible for all costs associated (minimum $1000) with the restoration of the work by a professional contract art conservator. These costs will be charged back to the department.
6. Loans are extended for one year but may be renewed.
